Add financial information

To add information to your financial info, first, add an account map.

Adding financial information in the user Interface

  1. Open the property > Financial information tab > the sheet you wish to edit - actual, budget or review.
  2. Click the three dots next to the time selector.
  3. Select Add a value. Fill out the popup form. 
    • Year and Month: The year and month for the value. For example, the month and year you paid for a cleaning value you are inputting. 
    • Linked Account Map: Select the correct account map from the drop-down menu. If you don’t see your account map there, make sure you have linked the account map to the correct property in the account map settings. 
    • Account: This is the actual account the transaction belongs to, i.e. cleaning, snow removal, personnel etc. 
    • Account Value: This is the monetary value of the transaction entered in the corresponding currency. 
      • Do not to add costs as a negative value as this will be calculated as income.
        • Example: -10500 is incorrect, add it as 10500
  4. Save.

Adding financial information with import templates

You can import data to the Financial info tab using two excel import templates, PnL and Financial information. They are available in the Data import function of the user menu.

PnL import

Make sure to add:

  • Property name: the name of the property
  • Property cost centre: the unique ID of the property
  • Month: the date of the transaction. You can add more than one day in a month, but they will be combined into a single amount in the financial info tab. These amounts are the net figures.
  • Account map: the name of the account map
  • Account code: the code for the account this transaction is going into
  • Account name: the name of the account this transaction is going to
  • Value: the monetary transaction, entered in the corresponding currency.
    • Do not to add costs as a negative value as this will be calculated as income.
      • Example: -10500 is incorrect, add it as 10500
  • Type: either BUDGET or ACTUAL

Financial information import

Make sure to add:

  • Portfolio company ID: Unique ID of the portfolio your property belongs to. Located in the general information of the portfolio.
  • Portfolio name: The name of the portfolio your property belongs to.
  • Property cost center: The unique ID of the property you are adding the information to. 
  • Property name: The name of the property. 
  • Account Map: The name of the account map you are using.
  • Account Code: The specific account map code the transaction is for.
  • Account Name: The specific account map name the transaction is for.
  • Type: The type of transaction, either BUDGET or ACTUAL.
  • Month (e.g. Jan-20, Feb-20 etc.): The month and year of the transaction. 
    • Value: the monetary transaction, entered in the corresponding currency.
    • Do not to add costs as a negative value as this will be calculated as income.
      • Example: -10500 is incorrect, add it as 10500
