Adding multiple rent types to your lease agreement

How to add multiple rent types to your lease agreement. 

1. Create a new rent type map

Assetti has 5 default main rent types: Rent, Service charges, Utility charges, Other rent, and Custom rent. You are able to add more specific types to lease agreement by adding sub-types to each of these main category using rent type mapping function. 

To create a rent type map from the UI:

  1. Click on your username on top right corner, select Rent types from the dropdown menu,
  2. In rent type map view, click +ADD button to create a new rent type map,
  3. Input a name for your map, and Save,
  4. In Info tab view, use Add button to create new sub-type. Input at least following data in editing panel to save the sub-type:
  • Rent Code: numerical value used to identify the rent type, if you don't have this code you can assign random number string e.g. 001, 002, etc.
  • Rent Description: short text string to describe the rent type
  • Rent Type: one of the 5 default main rent types in Assetti, Rent, Service charges, Utility charges, Other rent, and Custom rent.  
To create a rent type map through import:
You can import rent type map using Assetti's import wizard, and follow data import instruction. Select Rent types when choosing the import type. You can use either Assetti import template or  your own spreadsheet and map the data fields accordingly. 
 
2. Link property to rent type map
Once you have added a rent type map, the next step is to link it to properties. You can have more than one rent type map in your account, but only one map per property. Thus, all leases in the same property will have the same rent type map. 
 
To link properties to a rent type map:
  1. Click on your username on top right corner, select Rent types from the dropdown menu,
  2. In rent type map view, open the map you wish to use
  3. From map profile, select Link properties tab
  4. Click Link button to select properties 
  5. From the property selection view, link property by click on Link button at the end of a row. You can link multiple properties at once. Linked properties will have Unlink instead of Link button, click Unlink to deselect a property.
  6. Click Save to finish.
3. Adding sub rent type to lease
After linking properties to rent type map, you can add the sub-types to leases according to the structure specified by the mapping.
 
To add sub-rent types to a lease:
  1. Open a lease factsheet from lease main view,
  2. In Contract tab click Pen icon to edit Lease information,
  3. Click Edit rents button to enter rent editing view
  4. Use +ADD button to add a new sub-type for each of the 5 main types,
  5. Select the sub-type from dropdown list, add rent amount and VAT% 
  6. After adding all the sub-types, click Save to finish.
